Project Assistant for Shareholder Meetings

ABOUT THE POSITION
Academic Work is looking for project assistants to assist with shareholder meetings starting at the end of February 2026 and during the spring. Our client is an international and well-respected company that helps larger corporations tailor shareholder meetings in a secure manner.
As a project assistant, you will be a key person for your assigned client portfolio consisting of larger and smaller companies and have daily contact with clients, shareholders, and representatives. You will be responsible for the administration surrounding each client's shareholder meeting via phone and email, such as reviewing authorization documents and proxies. Additionally, you will attend shareholder meetings throughout the project and be responsible for various practical aspects.
The assignment is full-time and is part of our staffing services, which means you will be employed by Academic Work but work as a consultant for our client. The assignment runs from the end of February to the end of May, but for the right person, there are good opportunities to continue with other assignments at Academic Work after the period ends. A journey that many of our other consultants take.
NOTE: A credit check and background check will be conducted for this assignment.
JOB RESPONSIBILITIES
Responsibilities
As a project assistant, you will be in contact with the person responsible for each shareholder meeting in a team with independent responsibility for your own clients, approximately 5-10 companies. During the meetings, you will greet visitors and ensure that materials and other items are in place when the meeting opens. Examples of other tasks in the role of project assistant include:
- Receiving registrations for shareholder meetings
- Keeping the client updated throughout the entire period
- Following up on statistics on behalf of your clients
- Reviewing authorization documents and proxies
WE ARE LOOKING FOR YOU WHO
We are looking for someone who wants to take on the role of project assistant with great commitment and a sense of responsibility. To succeed in the role, we see that you have good collaboration skills, a service-oriented mindset, and integrity. Furthermore, we see that you:
- Have a post-secondary education in law/finance/economics or equivalent. You have recently completed your studies or are in the final stages of them, or have a few years of work experience
- Speak and write fluently in Swedish and English as client contact and communication are central to the role
- In this process, great importance will be placed on personal suitability
It is considered meritorious if you:
- Have experience from shareholder meetings and/or have specialized your studies in, for example, corporate law
- Have a B driver's license
To succeed in the role, you have the following personal qualities:
- Service-oriented with good teamwork skills
- Responsible
- Detail-oriented
